Equipment & Supply Specialist – Level 1

We are seeking a detail-oriented Equipment & Supply Level 1 Specialist to oversee the coordination of information, inventory, and processes for the Tool Crib and Maintenance tracking systems. This role helps ensure departments have timely access to well-maintained tools, equipment, supplies, and consumables while supporting purchasing, vendor coordination, inventory management, and maintenance scheduling.

Key Responsibilities

  • Maintain and track tools, equipment, parts, supplies, and consumables using Tool Crib and CMMS software
  • Issue parts and consumables and accurately record transactions in the appropriate tracking systems
  • Maintain Tool Crib and CMMS records to reflect current manufacturing inventory
  • Receive new tools, equipment, and consumables and enter them into the tracking system
  • Update CMMS records to reflect completed maintenance and work performed
  • Maintain current Certificates of Insurance for active service vendors in compliance with Safety Department requirements
  • Update required documentation for various departments
  • Coordinate with Maintenance & Supply regarding equipment and service scheduling
  • Communicate with vendors to obtain quotes for supplies, equipment, and components
  • Generate and process Purchasing Material Requisitions
  • Coordinate purchase requests with the Purchasing department and vendors
  • Work with Receiving to confirm and inspect purchased items upon delivery
  • Confirm requisitions and invoices to ensure payments have been processed
  • Communicate with internal departments and outside vendors by phone and email
  • Coordinate interdepartmental updates regarding maintenance schedules and tasks
  • Assist with documentation related to outside vendor services
  • Process paperwork, including scanning, filing, and emailing documentation
  • Support the team with ongoing inventory management and maintenance needs
  • Follow all company safety procedures and participate in required safety training
  • Perform other duties as assigned

Qualifications

  • High school diploma or equivalent required
  • 1+ year of relevant experience preferred
  • Ability to learn and manage new database and tracking software
  • Experience or ability to operate a CMMS (Computerized Maintenance Management System)
  • Basic knowledge of tools, supplies, equipment, and inventory practices
  • Previous experience handling inventory, tools, equipment, or supplies is a plus
  • Strong customer service and communication skills
  • Excellent written and verbal communication skills
  • Ability to coordinate information between Maintenance & Supply and other departments
  • Proficient with Microsoft Outlook
  • Experience with Microsoft Word and Excel is a plus
  • Knowledge of SQL (Structured Query Language) is a plus
  • Ability to use computers, company email, and company-issued smartphones
  • Ability to communicate professionally through phone calls, email, and text messages
  • Strong attention to detail with the ability to identify paperwork and documentation errors
  • Ability to follow verbal and written instructions
  • Valid driver’s license required
  • Ability to drive a company vehicle required
  • Ability to travel between multiple buildings and work in various weather conditions
  • Ability to operate a golf cart preferred
  • Forklift experience is a plus
  • Ability to wear required Personal Protective Equipment (PPE), including safety shoes, hearing protection, and safety glasses
