Equipment & Supply Specialist – Level 2

We are seeking a detail-oriented and organized Equipment and Supply Level 2 Specialist to oversee the coordination of information, inventory, and processes for the Tool Crib and Maintenance tracking systems. This position plays an important role in ensuring employees and departments have access to properly maintained tools, equipment, parts, and consumables while supporting maintenance scheduling, purchasing, vendor coordination, and inventory management.

The ideal candidate is comfortable working across multiple departments, communicating with vendors, managing detailed records, and balancing administrative responsibilities with hands-on tasks in a manufacturing environment.

Key Responsibilities

  • Manage Tool Crib and CMMS software to accurately reflect current manufacturing inventory
  • Issue parts, tools, equipment, and consumables while maintaining accurate records
  • Allocate specific tools, equipment, and consumables to employees and departments
  • Receive new tools, equipment, and consumables and enter them into the appropriate tracking systems
  • Issue Maintenance Work Orders by entering requests into the CMMS
  • Update CMMS and Tool Crib records to reflect completed maintenance and work performed
  • Assist the Maintenance Department with creating and maintaining equipment maintenance schedules
  • Provide regular status updates on open Maintenance Work Orders based on priority level
  • Coordinate with Maintenance & Supply regarding equipment, repairs, and service scheduling
  • Organize and maintain physical locations for stocked tools, parts, and supplies
  • Work with vendors to obtain quotes for supplies, equipment, and components
  • Generate and process Purchasing Material Requisitions
  • Coordinate purchase requests with the Purchasing department and vendors
  • Work with Receiving to confirm and inspect purchased items upon delivery
  • Communicate with internal departments and outside vendors by phone, email, and text
  • Maintain current Certificates of Insurance for active service vendors in compliance with Safety Department requirements
  • Provide the Safety Department with required documentation for vendor visits and services
  • Confirm requisitions and invoices to ensure payments have been properly processed
  • Process and maintain relevant paperwork, including scanning, filing, and emailing documentation
  • Communicate interdepartmental updates regarding maintenance schedules and tasks
  • Assist with documentation related to outside vendor services
  • Assist with the sales and service of employee uniforms
  • Operate vehicles, forklifts, and golf carts to complete various tasks
  • Use ladders to access hard-to-reach areas and stocked items as needed
  • Follow all safety procedures and participate in required safety training
  • Perform other duties as assigned

Qualifications

  • High school diploma or equivalent required
  • 1+ year of relevant experience preferred
  • Ability to learn and manage database and tracking software
  • Experience or ability to operate a CMMS (Computerized Maintenance Management System)
  • Basic knowledge of tools, equipment, supplies, and inventory practices
  • Previous experience handling inventory, tools, equipment, or supplies is a plus
  • Strong customer service and communication skills
  • Excellent written and verbal communication skills
  • Ability to communicate effectively with outside vendors
  • Ability to coordinate information between Maintenance & Supply and other departments
  • Proficient with Microsoft Outlook
  • Experience with Microsoft Word and Excel is a plus
  • Knowledge of SQL (Structured Query Language) is a plus
  • Strong attention to detail with the ability to identify paperwork and documentation errors
  • Ability to follow verbal and written instructions
  • Ability to use computers, email, and smartphones
  • Ability to communicate professionally through phone calls, email, and text messages
  • Valid driver’s license required
  • Ability to operate a vehicle required
  • Ability to travel between multiple buildings and work in various weather conditions
  • Ability to operate a golf cart preferred
  • Forklift experience is a plus
  • Ability to wear required Personal Protective Equipment (PPE), including safety shoes, hearing protection, and safety glasses
